Work-Order Manager
Volunteer Opportunity Description


Duties 
  • Receives new requests for assistance via website, e-mails, phone calls; responds to requests and arranges site visit (where necessary) to scout the job
  • Judges whether work requested is within capabilities of Lyons Volunteers and, if it is, ascertains number of volunteers, time to complete, necessary tools and heavy machinery required to complete job
  • If work requested is beyond capabilities of Lyons Volunteers (i.e. reconstruction, road building), refers the request to Lyons Volunteer Coordinator to assign to other providers
  • Decides if further consultation from professionals (for example, mold remediation specialists) is needed before accepting request and coordinates visit by professional
  • Writes up work order with details of job in preparation for property owners signature
  • Prioritizes work orders and presents information at pre-deployment meetings
  • Assists on day of deployment by clarifying (if necessary) jobs to assigned foremen and, if necessary, leading crew to job site. Also, remains available by phone to answer questions on jobs

Expectations of Time*
  • 2-20 hrs per week, depending on rotation
  • Includes attending management meetings on Thursdays from (4-6 pm) and deployments on Wednesday OR Saturday mornings (8-10 am)

Skills Required
  • Customer relations skills: personable phone presence, willingness to meet and discuss projects with person making request
  • Computer response skills: reply to e-mails and online requests, coordinate via e-mail
  • Ability to identify project needs, such as; identify number of volunteers, tools, and time to complete work.
  • Working knowledge of computer software such as Microsoft Office  
  • Ability to work cooperatively with different types of personalities

Orientation

  • On the job training with experienced staff

Location & Transportation 

  • Meetings are at Town Hall and Deployments are at Rogers Hall
  • Work Order Manager needs to provide their own transportation to deployment, meetings and job sites

Reporting Hours & Check-ins 

  • This position reports to the LyonsVolunteers Leadership or other designated staff

Special Requirements – This position may be subject to a background check or other requirements as mandated by the Town of Lyons.

  • Cell phone highly recommended


*Managers work on a rotating basis, i.e. managers coordinate which week/deployments they will cover
